INTERNATIONAL ACCOUNTS PAYABLE PROFESSIONALS-NORTH TEXAS CHAPTER

Quarterly meeting held on February 18, 2004.  There were 48 attendees at this meeting.

Lunch and networking started at 11:00.  

Don Johnson, Vice President of the NTIAPP, called the meeting to order and welcomed the attendees.  Don thanked Betsy Forbes with Wyndham International for providing the facility and Dennis Fields with DocuData Solutions for providing lunch for our quarterly meeting.  Dennis also brought Bill Holder, Chris Ward and Brian Rathe from DocuData Solutions as guests.  

Don reported that currently the North Texas Chapter of IAPP had 176 members and 10 new members.  The new members are CTX Mortgage, NRECA, Southwest Airlines, Business Imaging Systems, Inc, Americredit Corporation, EMC Mortgage Corporation, Fossil, Inc,  McKesson Corporation, General Services Administration Finance Center and Alliance Data Systems Corporation.  Introductions were made and non-members were invited to fill out membership applications.

Don Johnson introduced Dennis Fields with DocuData Solutions and Darlene Foster with Texas Industries that use DocuData Solutions.  Darlene stated that Texas Industries had partnered with DocuData since January of 2003 and that 750,000 documents had been imaged and felt very confident of the accuracy of the imaging system.  Dennis introduced Chris Ward, Consultant for DocuData that gave a Power Point presentation of Business Continuity Planning/Disaster Preparedness.  (See attached Power Point presentation) Chris’ expertise is the security of information, what is involved to keep a business going in case of a disaster.   Disasters could be power going out, office hit by a tornado, bomb threat, snow day, etc.  Decision-makers can be key people traveling, out for maternity or medical leave.  Disaster Recovery Plans need to be mocked in calm situations to discover where the plan has weaknesses.  The plan must include a list of critical people contact information including how to get in contact with the outside source that has the company’s backup information.   Click here to view the presentation.

Chapter business was discussed:

  • IRS - Did anyone send file for verification? - Steve Scotti with Wyndham International stated that he had tried to apply with the IRS to verify tax IDs but thought an executive of the company had to send in their tax returns.   Sue Hoyer and Donna Onstot with Oxy, Inc stated that they had applied with their tax information and had no problem getting set up.  They thought the IRS verification was a useful tool for their company for TIN matching.

  • Combining meeting with American Payroll Association? - Sandy Champion, President of the North Texas Chapter of IAPP, stated that Karen Sparks with Wyndham International is a officer of the local APA. They had discussed a possible joint meeting with the two associations.  Everyone thought it would be a great idea to have a joint meeting besides our quarterly meeting.  Possibly a professional speaker on the crossover between the departments.

  • Education Committee – Melvina Floyd, member of the Education Committee, showed a new brochure on CAPP information.  She also stated that March 19th would be the last day to sign up to take the CAPP test at the 2004 IAPP Forum.  Buses will be taking test takers to the test site from the hotel.  Sandy and Melvina were leaving that afternoon for an Education Committee meeting in Orlando. 

  • Website   Barbara Coakley, NTIAPP’s webmaster, discussed that the officers would be blind copying the emails to the list of members to try and eliminate outsiders from getting our list of members.

  • A/P Recognition Week (March 15-19) – Sandy reminded everyone of the A/P Recognition Week, March 15 through 19.  Jan Wallace with The Freeman Companies showed the AP Recognition Week shirt and a little Star AP sponge person that can be ordered through IAPP.
  • New IAPP Website - Sandy asked if anyone viewed the new IAPP website.  Several had visited the website, thought it was a good resource site and hoped it would get better and better.

  • IAPP eNews & Views - Some thought that the eNews & Views should be printable in order to read at their convenience.

  • 2004 IAPP Forum in Orlando - Sandy reminded everyone about the 2004 IAPP Forum in Orlando to be held  April 25 through April 29.  Several members were going to attend the forum.  Sandy had brochures of the forum for ones that were interested in attending.

Sandy stated that the next meeting would be May 19th to be held and hosted at Allstate in Irving to discuss outsourcing accounts payable and payroll.  The August 18th meeting will be held and hosted at The Freeman Companies in Dallas to discuss 1099 automation outsourcing, IRS matching online and 1099s.  The November 17th meeting will be hosted by Resulte to discuss personal identity theft.

  • Kim McGee, The Freeman Companies, won a Large portfolio given by Hunt Oil and a coffee   mug and game given by Sabre.

  • Betty Adkins, Hunt Oil Company, won playing cards, thermos mug, world time calendar and an alarm clock calculator given by NCH.

  • Barbara Coakley, Carlson Restaurants, won a golf towel and pen given by PricewaterhouseCoopers, leather note pad given by The Freeman Companies and a keylight given by NCH.

  • Tonya Fykes, Brinks, Inc, won a $25 Friday’s gift certificate given by Carlson Restaurants Worldwide and 2 coffee cups given by Wyndham International.

The chapter meeting adjourned at 1:30 p.m.
