INTERNATIONAL ACCOUNTS PAYABLE PROFESSIONALS-NORTH TEXAS CHAPTER

Quarterly meeting held on August 20, 2003.  There were 36 attendees at this meeting.

Lunch and networking started at 11:00.  

Don Johnson, Vice President of the NTIAPP, called the meeting to order and welcomed the attendees.  Don thanked Sabre Holdings for providing the facility and Jason Minor with Concur Technologies for providing lunch for our quarterly meeting.  Introductions were made and non-members were invited to fill out membership applications.

Don asked Carrie Chambers with Sabre Holdings to briefly explain what the company does.  Carrie stated that Sabre is a travel technology company that develops software for the travel industry.  Carrie stated that Sabre owned Travelocity.  Also, that the company currently serves over 6,000 customers through the Sabre system. 

Sandy Champion, President of the NTIAPP, introduced Deborah Lyons, with VHA Inc, and Jason Minor, with Concur, to discuss Expense Report Automation.  Deborah wore a beautiful hat and carried a shiny star because she said that implementing the Expense Reporting System through Concur made her a STAR in her company.   Deborah stated that the system was a web-based product that prepopulated nightly.  The employee could “click and drag” the expenses to the proper expense report.  The expense report is then routed to his/her manager via email for approval.  After approval, the expense report is routed to the AP Lawson system.  Deborah stated that it took 4 or 5 years for everyone to get on board, but the employees love it now; they never have to wonder where their money is in the loop.  The system automatically deposits the monies in their account and sends an email to the employee.  Deborah also stated that the company no longer issues advances.  Jason Minor, with Concur, stated the system has flags built in according to the company’s travel policy.  Deborah stated that the AP department looks for hotel folios and does random audits.  She stated that implementing Concur’s automated expense report system has saved the company 2 employees in the AP department.  Jason stated that along with automated expense reporting, that Concur could implement imaging through faxes, integrate P-Card feeds, and has tools to comply with Sarbanes-Oxley Section 404.

Sandy Champion had Jennie O’Brien, with PricewaterhouseCoopers, introduce James Ramsey to give a presentation on Sarbanes-Oxley.  Jim stated that he had spoken to over 45 companies and was currently working with 9 companies to comply with Sarbanes-Oxley.  Jim stated that after the Enron and WorldCom failures that were due to lack of internal control of finances, Congress passed the Sarbanes-Oxley Act.  This Act has the CEO and CFO attest to the security of the internal financial controls of the company.  Attached is the Powerpoint presentation.  Jim stated that the deadline of compliance has been moved to June 15, 2004.

Mary Lynn Mills, with Sabre, stated their company had been working to comply with Sarbanes-Oxley Act.  They had developed flowcharts on the day-to-day operations of each department within the company.  Mary Lynn stated that key controls are segregation of duties, observation, invoice payments, approval levels, coding, reconciliation of bank accounts, duplicate payments and positive pay.

Chapter business was discussed:

  • Education Committee  Sandy reported for Melvina Floyd, member of the Education Committee, that the testing sites for the CAPP examination had been set up and ready to go in Plano and Arlington.  That a CAPP did not have to take the test to recertify, just had to make sure had 95 credits within 5 years.    Sandy also stated that there was an opening on the Education Committee.

  • Website – Sandy reported for Barbara Coakley, Webmaster, who was not present.  Barbara wants to make sure that everyone’s email address is current with the national listing.  Sandy stated not to use her Hotmail email account  and to contact her at SandyChampion@aol.com. 

  • Jan Wallace had information on NAPCP, National Association of Purchasing Card Professionals, which had really good conferences and gave good information.

  • Terms of Officers - Sandy stated that she had to certify the officers and their current terms. The beginning of the terms had changed to May with a 2 year length.

  • IAPP Tape of Opening Ceremony & Person of the Year Presentation - Sandy also stated that she had received the tape and that we could view the tape and the next meeting if everyone agreed.  Everyone agreed.

  • Do you want to facilitate a workshop at the 2004 Forum – Sandy discussed how people could facilitate a workshop at the 2004 Forum. 

  • Frank Abagnale Seminar – Thursday, October 30th -  Sandy reminded everyone about the Frank Abagnale Seminar on October 30th and that it would be worth .75 CAPP credits.

Our next meeting is scheduled for November 19, 2003, to be hosted by Ladd Rowan of LASON, Inc. and will be held at Wyndham International in Dallas.  Topic of discussion will be Case Study on Imaging.

Sandy Beggs, Carlson Restaurants Worldwide won 2 hairbrushes from Sally’s Beauty Supplies, NCH Expandable Duffle Bag and $20 Maggiano’s Little Italy gift certificate from Brinker

Don Johnson, Allstate Insurance Company, won a certificate for air conditioning unit service, clean and charge from Lynne Guffey

Jane Mullins, Blockbuster, won Will Yancey’s “Statistical Sampling in Sales & Use Tax Audits”, The Freeman Companies travel mug, NCH small electronic calculator and flag decorated lighted pen.

The chapter meeting adjourned at 1:30 p.m.
